Rental and Accommodation Coordinator – Stellenbosch

The Central Events and Conferencing Office is a new unit created by Stellenbosch University. This unit sits outside the traditional University framework in a spinout company, Factory 209 (Pty) Ltd, which is 100% owned by SU.

This exciting new unit is looking for dynamic new talent to further grow the business in 2024 and beyond.

You would be the ideal candidate if you have the following qualifications, experience, and key competencies:

Qualification

Relevant hospitality qualification (Degree or Diploma)

Knowledge of hospitality industry best practice and regulations

Knowledge and Experience

Minimum 5 years in the accommodation industry or similar

Hospitality management experience

Experience in managing teams of staff up to 5

Crisis management experience

Facilities management experience

Basic financial acumen

Computer literate (Nightsbridge, XERO Accounting, Microsoft Office Suite, and MS Teams)

Duties and Responsibilities

Main Responsibilities

Overall strategic management of the accommodation division

Day to day operations management for flats

Marketing and coordination of group bookings

Coordination of Stay in students

Administration involved with all the above

Identify areas for improvement, plan and execute with all stakeholders

Create a positive service culture for all guests and stakeholders

Visiting groups:

Supply rates and quotations and invoices on enquiry to Visiting Groups

Manage all bookings and associated administration and documentation

Have a “Short Term Lease Agreement” signed between Visiting Groups representatives and the Client

Schedule use of facilities in association with relevant role players

Communicate and laisse with relevant Stellenbosch University stakeholders: Residence staff (i.e., Residence head/ Residence Services/ Centre for Student Communities) campus security and relevant Service providers

Manage and facilitate all additional Services required by Visiting Groups (cleaning, meals, linen, etc)

Manage and oversee the Visiting Groups Residence Door Monitors in collaboration with the appointed Head Door Monitor.

Receive and manage the Visiting Groups for the whole duration of their stay

Handle and manage all enquiries, disputes, damage and instances of unacceptable behaviour by Visiting Groups guests.

Negotiate prices of meals with appropriate vendors or suppliers for the season.

Assume all responsibility and management of linen, the linen store, stock levels, collection by laundry services, and packing back in store together with an appropriate stock control system that minimises shrinkage

Prepare rooms ready for guests as needed.

Stay in students:

Communication with students within an appropriate time frame for application, vetting of these on agreed on criteria

Confirmation of appropriate Res to be allocated to Stay in students

Communication with relevant SU stakeholders for criteria for applicants

Communicate and laisse with relevant Stellenbosch University stakeholders: Residence staff (i.e., Residence head/ Residence Services/ Centre for Student Communities) campus security and relevant Service providers

Reporting after each season, actual dates, and students in order for financial processes to be completed

Maintenance:

Regular check of flats condition and content

Manage the maintenance budget

Liaise with handymen and contracted service providers

Negotiate preferred rates with service providers per season

Job Type: Full-time

Salary: R20,000.00 - R22,000.00 per month

Ability to commute/relocate:

  • Stellenbosch, Western Cape: Reliably commute or planning to relocate before starting work (Required)

Education:

  • Diploma (Preferred)

Experience:

  • accommodation management: 5 years (Preferred)
  • hospitality industry: 5 years (Preferred)
